Winter Gritting Contract Guide

Define the trigger and the response time

A winter gritting contract works on a weather trigger, not a fixed visit schedule, so the first thing to pin down is what sets a visit in motion. Name the forecast source and the surface-temperature threshold — commonly a predicted fall to or below zero — and state whether treatment is pre-emptive or reactive. This turns winter cover into something objective rather than a nightly judgement call.

Alongside the trigger, set the response time: how long after a trigger the contractor must have the site treated, and whether overnight and early-morning cover is included so the site is safe before staff and visitors arrive. Map the areas and set priorities

Specify exactly which areas are treated, because gritting the whole site and gritting only the main access route are very different jobs at very different prices. For larger sites, confirm how bulk material is stored and replenished, and whether the contractor monitors stock or relies on you to flag it. Stocking is unglamorous but it is where winter cover quietly fails, so put it in writing.

Records, liability and accountability

Winter cover is as much about evidence as treatment. Agree that each visit is logged with date, time, areas treated, material used and the forecast that triggered it, and confirm who receives those records. If a slip or fall is later contested, this log is what shows the site was managed reasonably and in line with the plan.

Winter contracts are usually priced as a seasonal commitment — a standing charge for availability plus a rate per visit, or an all-in seasonal price — so confirm which model you are buying and what counts as an additional visit. What temperature triggers a gritting visit?+

Most commercial contracts trigger pre-emptive gritting when the forecast road or surface temperature is predicted to fall to or below zero, typically using a defined weather-station feed. Should the contract cover snow clearance as well as gritting?+
